. I am currently using an older version of optical software, can I migrate my old data to    optifocus2007?

As such there is not utility to directly import data into optifocus but if the client who wants to import his old data provides us with the database we can import the old data of the client as per the new database of optifocus.

. How does Optifocus handle inventory?

As far as inventory is concerned optifocus handles the inventory in an efficient manner

• Whenever any purchase is to be done fist of all a Purchase Order is generated in favor of that particular product.

• Based on the purchase order that particular product is purchased.

• Once the purchase is done the inventory of that product will be updated with the quantity of purchase made.

• If there is any Sale done for the product that much amount would be deducted from the Inventory.

. How do I process Credit Cards using Optifocus?

User needs to define the type of credit card name and its parameters under the credit card configuration.
User can clear the payments using Cash, Credit Card and/or Credit Note payment options. Balance amount from previous transactions will be displayed. This value will be updated as the payments are cleared.

You can process all major credit cards with Optifocus using the bank OF YOUR CHOICE! There is no need to change your existing merchant services agreement.

. How and when do I need to update bands?

Bands are maintained to keep the track of patient who had set an appointment but did not turn up for the check up due to any reason would be transferred to the next band i.e. for the first time the patient would be transferred to band 1 and band 1 patient would be transferred to band 2.
Now if at any time the client want to reset the patient’s to band zero i.e. the starting of the band procedure he can do the same by clicking Upgrade Band under the Utility menu.

. What is bundle sale and how do I define it?

Whenever the client wants the sell a combination of products together it is defined as bundle sale.
• If the client wants to define a bundle then he can do the same by defining them in the stock out Bundle Sale option.
• The client will have to select the products that he wants to sell in combination
• The bundle sale will be assigned a unique barcode number which will uniquely identify the bundle sale.

. Is there a facility to manage after sale services, if yes how?

Yes, there is an enhanced facility to manage after sale service using optifocus software. There are 3 levels in optifocus to manage after sale services.

1. After Sale Services: Service: If the product is under a warranty period and if only service is required to get the product right,     the  record for the same can be maintained under this section.
2. After Sale Services: Refund: If the product is under warranty period and if the product is not upto the standard of performance     and the customer wants to return the product back to the vendor the record of the same can be managed under this option.
3. After Sale Services: Warranty Return: If the product is under warranty and the customer wants to get the original product with a     new product the record for the same can be maintained under this option.

. How can I distribute goods to multiple branches?

The user can distribute goods to multiple branches using the optifocus software.
• For goods distribution user has go to Stock Transfer menu under which there is an option of Good Distribution.
• On selection will open up a form where the client has a facility to search products between dates or products purchased from    specific supplier.
• Once the orders under the specific search criteria are populated the user has to select the order for which he wants to distribute    the products.
• Once the products are populated then the user can select the branches to which the goods are to be distributed and mention the quantity that is to be distributed to respective branches.

. How can I send SMS and mails to my patient on a regular interval?

To send SMS or mails to the patient with the help of optifocus is one has to follow the following steps:

» SMS:

• The user first has to go to the Appointment menu and click the find patient option.
• On click will open up a form where in the user will be able to search criteria.
• Once the patients are searched then the user can select the patient one at a time and then click the send SMS button at the bottom of the page.
• It will open up the popup which will have the number of the patient pre loaded if specified by the patient or the user will be able to enter the mobile number in the Mobile number text box.
• Then the user can select the message heading if he has defined SMS definition or he can directly write the content in the SMS Message section and press the send button and the message will be sent to the patient.

» Mails:

• Mails can be send for 2 main things:
1.Re-visit mail
2.Classification Letter
• For sending both the type of mails the user has to go to the Utility menu and select respective options to send mails.
• Now if the user wants to send a Re-Visit mail then he needs to select the option and Lens Type which means that only the    patient who fall under this specific selection criteria will be sent the mail.
• Then he can click the next button he will have to select the mail option which will ask him to specify the subject of the mail.
• On clicking the next button the list of the patient will be displayed who satisfy the criteria. The patient can select the patients and    then click the finish button and the mail will be sent.
• Now if the user wants to send out Classification Letters for patients first of all he has to specify the search criteria for the    patients and then select the letter which he wants to send to the patients.
• Once he clicks the next button the user will select the mail option and specify the subject of the mail.
• On click of the next button a list of patients will be displayed from which the user will have to select the patients to whom he    wants to send the mail and then click the finish button and the mail will be send to selected patient.

. Do I have to type the content of the letter and SMS each time I want to send them?

No, you can define and add the SMS and Letter content using Optifocus once and the same can be used as many times as and when you want.

» SMS Definition:

For SMS definition the user needs to go to the Configuration menu and select SMS definition. Here a form will open where the user needs to define the Head and the message of the SMS and then press the Add button. The user can add as many SMS definition as he wants and all will be displayed in the Combo box at the time of sending SMS the user can select any one and send SMS.

. Do I have to maintain the history of the patient manually?

• The full history of the patients is stored for all the patients.
• If the user wants to view the history of the patient the user can go the configuration menu and select patient definition.
• The patient definition form contains 2 buttons Rx History and Recall History.
• On click of the RX history button the RX details of the patients will be displayed per patient selected by the user.
• On click of the Recall History button the user will be able to view the general details of the patient like the Name, Optician,   Recall Type, Description, Band, Recall Date, Print Date, Mail date etc.

. How can I copy products?

Optifocus provides a facility to copy products and for the same there is a utility provided under products module. The user needs to click the products menu under which there is a utility Edit/ Copy Product Definition. On click will open up a form from where the user can search product and select the product that he wants to copy and then click the Copy button he will be redirected to product definition form which will have some of the sections pre populated as per the criteria of the product selected. Then the user has to follow the steps of how the add product and the same will be added to the data base.

. If I have different branches world wide how can I manage them all as the currency for all the    countries would be different?

Optifocus provides an extensive currency definition and currency conversion functionality with the help of which the user can manage the currency world wide.

» Currency Definition:

For defining currency the user has to go to the configuration menu and click the currency definition utility. Here the user needs to add the name of the currency and the Symbol and click the Add button. The user can add as many currencies as he wants to.

» Currency Conversion:

For currency conversion the user has to go to the configuration menu and click the currency conversion utility. Here the user will select the From Currency and To Currency and specify the value and click the save button. The currency conversion will be added to the system.
